Organizer panel terms of use

SnapRace is the trade name of the race management platform owned by Devinet 2013, S.L.U. These Terms govern access to and use of the SnapRace organizer management panel by organizing entities, their administrators, collaborators and authorized staff.

The panel allows organizers to configure events and races, manage registration forms, consult participants, operate race controls, prepare bibs, publish information and, where available, activate integrated payments.

Purpose and relationship with other legal texts

These Terms apply to the organizer management panel. They do not replace the general SnapRace Privacy Policy, the Registration Terms accepted by runners or the specific conditions of each event.

The organizing entity must ensure that the public event information, rules, prices, deadlines, refund conditions and participation requirements are complete, accurate and up to date.

In the event of any contradiction between the information, conditions or communications published by the organizing entity and these Terms, these SnapRace Terms will prevail for all matters relating to use of the panel, operation of the platform, integrated payments, fees, SnapRace liability and the relationship between SnapRace and the organizing entity.

Organizer account and authorized users

Each account must use real data, keep credentials under control and report any unauthorized use as soon as it is detected.

The organizing entity is responsible for actions taken by its authorized users inside the panel, including administrators, event managers, check-in staff and invited collaborators.

Publication of events, races and content

The organizer is responsible for the content it publishes or uploads to SnapRace: names, descriptions, routes, images, logos, sponsors, documents, rules, event conditions, prices and participant communications.

The organizer must not publish unlawful, misleading, discriminatory or offensive content, content that infringes third-party rights or content that may misrepresent the role of SnapRace or the organizing entity.

Registrations, participants and event operation

SnapRace provides a technical tool to configure forms, manage registrations, export lists, consult participant status and support operational tasks such as bibs, check-in or results.

The organizing entity remains responsible for event delivery, participant admission, insurance, permits, safety, cancellations, postponements, sporting rules, ordinary runner support and compliance with applicable regulations.

SnapRace does not organize races published by third parties or act as the principal seller of registrations, unless expressly stated otherwise.

Prices, payments, Stripe and fees

When the organizer activates paid races, payments may be handled through third-party providers such as Stripe. Activation, verification, availability of funds, fees, holds, payouts, refunds, disputes and chargebacks will be subject to the terms of the relevant payment provider.

The organizing entity acts as the seller or provider of registrations for its events. The organizing entity defines the price of its registrations and is responsible for ensuring that this price includes any taxes, charges or surcharges applicable to its case.

Paid registrations may be processed through Stripe Connect in the organizing entity’s connected Stripe account when this payment method is enabled. Depending on the applicable technical configuration, payments may be processed in the organizing entity’s connected account or through other flows supported by Stripe Connect.

In all cases, SnapRace does not treat the registration amount as its own revenue. SnapRace only receives the management fee that corresponds to it for use of the platform.

The SnapRace fee may be retained automatically through Stripe Connect at the time of payment. Unless otherwise stated in the panel or in the applicable commercial terms, the SnapRace fee will be EUR 1.50 per registration, including taxes where applicable.

SnapRace fees retained automatically are considered fees already collected by SnapRace. The organizing entity will not have to make an additional manual payment for those fees, unless there are outstanding amounts, adjustments, incidents, refunds, chargebacks, collection errors or any other case not covered by the automatic retention.

At the end of each month, or at the frequency indicated in the panel or in the applicable commercial terms, SnapRace will issue the organizing entity an invoice for the total management fees retained during the corresponding period, with any applicable indirect taxes. This invoice will document fees already collected for tax purposes and, unless there are adjustments or outstanding amounts, will not create a new payment obligation for the organizing entity.

The organizing entity must provide and keep its complete tax details up to date so that SnapRace invoices can be issued correctly.

Stripe processing fees, as well as any costs for chargebacks, disputes, refunds, currency conversion or other adjustments, will be borne by the organizing entity unless expressly stated otherwise.

Amounts shown in the SnapRace panel are informational or operational. The organizing entity must review the final detail of payments, fees, balances, holds, payouts and adjustments applied by Stripe in Stripe Connect.

For accounting and tax purposes, the organizing entity is responsible for correctly recording, declaring and documenting revenue from registrations, SnapRace fees, Stripe processing costs, refunds, indirect taxes and any other applicable obligation.

Refunds, cancellations and postponements

The organizing entity is responsible for defining and communicating its refund policy, as well as resolving requests linked to cancellations, postponements, organizer changes or the event’s own decisions.

In the event of cancellation, postponement, modification or suspension of a race, the organizing entity will be responsible for managing the communications and refunds due to runners, according to its specific terms, applicable regulations and the reason for the incident.

SnapRace may provide technical tools to manage refunds or communications, but it does not assume the economic cost of those refunds.

The SnapRace fee accrues for the platform services, technical registration management and payment processing services provided to the organizing entity. Unless expressly stated otherwise, there is an error attributable to SnapRace or applicable regulations require it, SnapRace fees already retained are non-refundable.

Invoicing and taxes

The organizing entity is responsible for issuing or providing participants with any invoices, simplified invoices, tax receipts, tickets or equivalent documents that correspond to registrations for its events.

The organizing entity is responsible for determining the tax treatment of its registrations, including the application of taxes, charges, exemptions or special regimes that may apply.

SnapRace does not provide tax, accounting or legal advice to the organizing entity and does not determine the tax treatment applicable to each event, registration or participant.

SnapRace will issue the organizing entity invoices for its management fees or contracted services, with any applicable indirect taxes.

Participant data protection

The organizer must process participant personal data in accordance with the GDPR, Spain’s Organic Law 3/2018 and any other applicable framework, relying on an appropriate lawful basis for the purposes it manages on its own behalf.

When configuring additional fields, importing lists or exporting data, the organizer must limit processing to necessary information, inform affected individuals where required and apply reasonable confidentiality and security measures.

The organizing entity must not use data obtained through SnapRace for purposes incompatible with registration or event management, unless it has a valid lawful basis to do so.

Availability, changes and support

SnapRace is provided as an evolving digital platform. Devinet may introduce improvements, functional changes, security measures, maintenance tasks or temporary limitations when needed for service stability.

Technical support is focused on platform incidents. Questions about the event itself, participant relationships, refunds, runner claims or rule interpretation remain the responsibility of the organizing entity.

Suspension or withdrawal of access

Devinet may suspend or limit access to the panel where it detects abusive use, breaches of these Terms, security risks, clearly false information, ownership disputes or legal requirements.

Where reasonably possible, Devinet will try to notify the organizing entity in advance so that the situation can be corrected.

Suspension or limitation of access will not release the organizing entity from its obligations towards participants, suppliers, public authorities, Stripe, SnapRace or third parties.

Liability

SnapRace does not organize races published by third parties and does not assume the organizing entity’s material obligations towards participants, public authorities, federations, suppliers, sponsors or insurers.

The organizing entity will be responsible for the organization, delivery, modification, postponement, cancellation, safety, permits, insurance, refunds, participant support and regulatory compliance of its events.

Devinet will only be liable for direct damages resulting from its own proven breach, within the limits permitted by law.

SnapRace will not be liable for damages, claims, penalties, losses, refunds, disputes, chargebacks or costs arising from incorrect information provided by the organizing entity, event conditions, organizer decisions, cancellations, postponements, sporting incidents, safety issues, regulatory breaches by the organizer or misuse of the panel.

Updates

We may update these Terms to reflect panel changes, new integrations, legal obligations or operational improvements. The applicable version will be the one published at each time, without prejudice to any additional notice where appropriate.
